Having enough inventory is critical to the brewing process and packaging. If you don't have ingredients in stock, you can't package your beer. Ollie's threshold settings allow you to alert the team when you are getting low on ingredients and packaging materials so you can create a purchase order for more supply.
Setting a notification threshold for Ingredients
- Click your icon on the top right-hand corner of Ollie Ops.
- Select “Ingredients”
- Select the ingredient category that your ingredient is listed under. (Grains, Hops, Miscellaneous, & Yeast)
- Search in the search bar or scroll to find the ingredient you like to set a notification threshold for. Click the 3 dots to the right of the ingredient and select “Edit Item”
Pro Tip: If you want to edit multiple ingredients at once, you can check the box to the left of multiple ingredients in one category (grains, hops, miscellaneous, or yeast) then click the “bulk actions” button that appears toward the top of the screen and select “edit items” to add a single edit to multiple items.
- You will be prompted to enter or select the following information to set a notification threshold:
-
- Notification Threshold - This is the amount of the unit of measure at which you want to be notified. For example, I will receive a notification when there are 20 pounds or less in inventory.
- Unit of Measure - This is the unit of measure for the notification threshold amount. It’s important to keep this in line with the unit of measure you purchase and house this inventory in.
Setting a notification threshold for Packaging Materials
- Click your icon on the top right-hand corner of Ollie Ops.
- Select “Packaging Materials”
- Search in the search bar or scroll to find the packaging material you like to set a notification threshold for. Click the 3 dots to the right of the material and select “Edit Item”
Pro Tip: If you want to edit multiple materials at once, you can check the box to the left of multiple packaging materials then click the “bulk actions” button that appears toward the top of the screen and select “edit items” to add a single edit to multiple items.
- You will be prompted to enter a notification threshold amount. This is the number of items at which you want to be notified (Not the amount of units of measure, meaning, not how many pallets, bags or boxes). For example, in the screenshot below I will receive a notification when there are 100 bottles or less in inventory.
- Click “Update Packaging Material” to save. Once saved, you’ll see the notification threshold set on your ingredient list.
How to view items below your notification threshold
When an ingredient or packaging material has been reduced and reaches its notification threshold, you will be notified via notifications in Ollie Ops. You can also view all of the items below your set threshold by filtering your inventory management.
To view your notifications, click the bell icon in the upper right:
From this screen, you can view your notifications, select ‘X’ next to the notification to delete it, or click ”dismiss all notifications” to clear all of the notifications.
There are two ways to view materials below threshold:
1. Go under either Raw Materials or Packaging Materials on the left side.
For Raw Materials, select the tab you want (Fermentables, Hops, Misc)
On the left side, find the filter that is set to "In Stock" and select "Below Threshold"
2. Click Reports on the lower left, and find and select either the Raw Material Forecast or Packaging Material Forecast report.
Select a desired end date, select "All" under Show, and "Below" under Ending amount
