PaySmart Portal Overview
Once your PaySmart account is activated, you’ll receive access to the PaySmart portal, a secure merchant portal. The PaySmart portal is where you can independently track and manage your payment activity. While PaySmart lives directly inside Ollie Order to automate invoice collection, the PaySmart portal serves as your financial reporting and deposit transparency hub.
Through the PaySmart portal, you can:
- View deposit activity – See when funds were sent, settled, and deposited to your bank.
- Track transaction statuses – Monitor individual payments and batch activity.
- Download monthly fee statements – Clear breakdown of processing fees and activity.
- Run financial reports – Filter by date range, funding date, transaction type, and more.
Users can receive notifications from the PaySmart portal. These notifications will be sent to their email address(s) associated with their portal login from the email help@withpaysmart.com.
Accessing the PaySmart Portal
Your team will gain access to the merchant PaySmart portal upon completing your PaySmart enrollment application. To access your merchant PaySmart portal, login at pay.paysmart.com.
Note: If you have not completed the set up your PaySmart portal login, click ‘Forgot Password’ to gain access to the PaySmart portal.
PaySmart Reporting
As a PaySmart merchant, you’ll be able to keep a pulse on the status and financial health of your business.You can also export these reports and view information in a given date range. With instant access to real-time reporting, easy payment reconciliation, and a simpler way to manage payment deposits, your team can spend more time on actions that grow your business and less on what doesn’t. To access reports in the PaySmart merchant portal:
- Login to the PaySmart portal by navigating to pay.withpaysmart.com.
- Select Reports in the side navigation.
- Click Open on any available Report to see a list view of the information.
- Note: You can filter the information by timeframe and Export each report.
These reports include:
- Payment Methods: View, Edit, or Print Customer payment methods that are saved, expired, or expiring soon.
- Sales by Item: View or print total sales by product/service for a given date range.
- Sales by Product/Service Category: View or print total sales by product/service category for a given date range.
- Custom Report: Customizable reports to fit your business needs.
- Deposit: View or print deposit reports by batch date, transaction, and amount for a given date range.
- Company Overview: View analytics across all of your PaySmart solutions in one place.
- Disputes Manager: View and manage disputes from buyers.
Merchant Fee Statements
A fee statement is a monthly financial report showing deposits, fees, and adjustments based on when transactions were funded, helping merchants understand their true processing costs. Producers can access their fee statements directly in the PaySmart portal. Note: Fee statements are typically available after the start of the next month. Usually by the 8th the fee statements will show up in the PaySmart merchant account.
Fee statements help merchants understand:
- Deposit Reconciliation - Comparing what was transacted with what was deposited
- Ensuring Fee Accuracy - Comparing fees to volume processed and ensuring everything lines up
- Payment Method Data - How are buyers paying and what are the costs associated with those payment methods
- Critical Account Info - Statement messages notify the merchant about upcoming changes to things like fees, system enhancements, etc.
Accessing Merchant Fee Statements:
- Login to the PaySmart portal by navigating to pay.withpaysmart.com.
- Select Reports in the side navigation.
- Find the report titled Fee Statements and click Open.
- The statements are grouped by individual months. You can choose the month you need to view by selecting the corresponding line item.
- Click Download to view a statement in PDF format.
At a high-level, each fee statement will provide:
- Summary - High-level snapshot of total sales, total fees, and overall account activity for the selected time period.
- Deposits - Shows daily net deposits (credits and debits) made to the Ollie Order merchant’s bank account, including fees, chargebacks, and adjustments.
- Fee Overview - Breakdown of all processing fees charged during the statement period (transaction fees, rate fees, disputes, PCI fees, ACH rejects, etc.).
- Daily Sales: Displays total sales activity and associated fees grouped by day.
- Card Processing Summary - Breaks down sales and fees by card type and whether transactions were card-present or card-not-present.
- Payment Method Breakdown - Shows processing totals by payment type (Credit, Debit, ACH/Other).
- Transaction Types - Separates activity by Card Present (CP), Card Not Present (CNP), and ACH transactions.
- Card Brands - Displays processing volume and fees by card brand (Visa, Mastercard, Amex, etc.).
- Surcharge (if enabled) - Shows surcharge amounts collected, typically broken out by card brand.
- Refunds & Adjustments - Lists refunds, disputes, and manual credits or debits that impact deposits.
